From quote to invoice: track every sale through to payment.
The life of a sale
Merakos follows a sale through several stages, each with its own document: quote, order, delivery, invoice and — if needed — credit note. An accepted quote converts straight into an order, with nothing to re-enter.
Quotes and orders
A quote stays editable while it's a draft; once sent, its lines are locked. An order tracks ordered quantity against delivered quantity separately, per line, with a "fully delivered" indicator.
Delivery and stock
Confirming a delivery automatically deducts stock, picking which batches to ship using FEFO (first-expiry, first-out) — you can override this and force a specific batch when needed. A confirmed or cancelled delivery can no longer be edited.
Invoicing
An invoice can be a standard document or a proforma. It's only editable while a draft; once confirmed, if its lines don't come from an already-deducted delivery, stock is deducted directly (still following FEFO). Every invoice shows the amount paid, the amount due, and automatically flags itself as overdue once the due date passes.

Credit notes
A credit note is always tied to one specific invoice and requires a reason. Each line can optionally restock the quantity — a commercial credit (discount) doesn't behave the same as a physical return of goods.
Customer balance
Every customer has a consolidated balance: open invoices, amount overdue, and available credit, calculated from their credit limit.
